A platform payout is often the last step of a sale, not the sale itself. When an autónomo receives overseas customer payments through an intermediary, the amount arriving in the bank may already exclude commission, refunds or currency conversion. Recording that net receipt as total revenue can hide both income and costs.

Map the commercial relationship first. Identify whether you supply the end customer or the platform, which entity issues documents and which party collects payment. Download the applicable platform agreement, sales reports, commission invoices and payout summaries. A dashboard total alone may not explain the legal transaction or the relevant reporting period.

For every reporting cycle, connect customer invoices to gross collections, deductions and bank settlements. Keep transactions in their original currency as well as the recorded euro values and conversion evidence. Distinguish a currency difference from a platform fee. Retain the method used so another reviewer can reproduce the reconciliation.

Imagine a hypothetical translator living in Spain who works through an international marketplace. Several completed assignments generate one combined payout, while a disputed project is refunded later. She supplies the individual assignments, fee documents and refund record. Her books can then explain why the original invoices and the final bank deposit differ without treating the refund as an unexplained missing payment.

International VAT analysis needs more than the client's country. Collect the precise service description, customer business status, identifying details and relevant contractual facts. Where appropriate, preserve checks of business tax identifiers. Do not use a platform's generic tax label as a substitute for analysing your own supply.

Watch the timing of downloads. Platforms may change access, shorten visible histories or close accounts. Save reports regularly in readable formats and keep an export containing transaction identifiers. Reconcile balances still held by the intermediary; money not yet paid into your bank has not necessarily disappeared from the accounting picture.

Finish each period with a bridge from invoices to platform movements and then to the bank. Explain refunds, withheld reserves and conversion differences in a separate note. If this bridge does not balance, investigate the individual transaction before filing. You can send an outline of your platform setup to info@taxdevelopmentconsulting.com to identify the records needed for a focused review.
