An expense review starts with the transaction, not with a list of supposedly deductible purchases. Your adviser needs to know who supplied what, why it relates to your activity and how the amount entered your records. A bank payment confirms money moved; it may leave the business purpose and invoice details unexplained.

Request a proper supplier invoice when appropriate and check the recipient information before filing it. Keep the order, contract or service description if the invoice wording is vague. For a recurring subscription, preserve both the contractual terms and the billing document. A screenshot of an app charge can be useful supporting evidence but should not automatically replace the required invoice.

Build an expense register that records the supplier, document number, date, category, amount and payment reference. Flag mixed personal and professional use separately. Deductibility for income tax and recovery of input VAT are different questions; approval under one heading should not be copied unquestioningly into the other.

A hypothetical freelance photographer buys a camera, takes a train to a client's premises and pays for a family meal during the same weekend. He gives his adviser the camera invoice, travel documentation and client appointment details. He marks the meal as personal. The camera's accounting treatment requires its own assessment rather than grouping all three payments as ordinary monthly costs.

Separate durable equipment from everyday purchases at the collection stage. Keep information about when an asset became available for business use, any financing and later disposal. For travel, connect the journey to a project or meeting. For home-based working, describe the actual arrangement and any shared use instead of selecting a percentage without evidence.

Before handing over a period, review duplicates, supplier credit notes and unpaid invoices. A refunded purchase should not remain as an unchanged expense merely because the original invoice is still in the folder. Ask the supplier to correct errors through an appropriate document and retain the original history.

The best expense pack includes a short question list: missing recipient details, unusual purchases, private-use elements and foreign suppliers. This makes the review faster and keeps uncertain items visible.
