A Spanish payslip, or nómina, connects gross earnings with the amount paid to the employee. The employer's total cost is a further figure that can include costs beyond that gross pay. Confusing these three amounts makes salary discussions and staffing budgets unreliable, especially for founders used to another country's payroll terminology.
Begin with the agreed remuneration and its components under the contract and applicable collective agreement. Identify base pay, relevant supplements, variable items and any non-cash remuneration. Check the pay period and working time. A figure described informally as monthly salary may leave uncertainty about extra payments and how remuneration is distributed.
Read deductions separately from earnings. Employee Social Security contributions and IRPF withholding serve different purposes and should be identifiable. The resulting net amount is not necessarily stable when relevant circumstances or payroll inputs change. Withholding is a payment on account of personal income tax, not a promise of the employee's final annual tax position.
Imagine a hypothetical founder comparing two candidates using their requested take-home amounts. One provides different personal withholding information and the roles have different remuneration structures. Promising identical net pay without a full calculation could create unexpected gross salaries and employer costs. A clearer comparison starts with defined gross terms and an explained cost estimate.
Review the employer's contribution obligations and other relevant staffing costs when budgeting. Keep those separate from deductions borne by the employee. Payroll documentation should allow the company to reconcile what the employee earns, what is withheld, what is transferred and what the employer must additionally pay through the applicable processes.
Use the employee's properly communicated information for withholding, including the relevant Form 145 process where applicable. The tax authority describes this as communication to the payer. Protect the information and update the calculation when supported changes require it, rather than copying another employee's withholding treatment.
Before approving payroll, compare the period with the agreed terms and any changes reported. Ask for an explanation of unfamiliar concepts rather than judging correctness from the bank payment alone.
