A first employee needs more than a salary agreement and a bank transfer. The employer must organise the applicable registration, employment documentation and working arrangements before the person starts. Planning the sequence early helps avoid discovering on the first morning that essential information or a required step is missing.

Define the role, place of work, working time and expected start. Identify the applicable collective agreement and assess the appropriate contractual arrangement under current rules. Do not choose a contract label solely because it appears cheaper or resembles a template used by a different business. The actual employment relationship needs to support the arrangement.

Check the employer's Social Security registration and the employee's registration requirements through the relevant procedure. If the person's right to work needs verification, address it before relying on a start date. Gather identification and administrative information through an appropriate secure process and limit access to those who need it.

Consider a hypothetical retail SL recruiting its first shop assistant. The founder has agreed a monthly take-home amount but has not fixed the schedule or checked the applicable pay structure. Before confirming the offer, the company clarifies the role, agreement and working time, estimates employer cost and prepares the necessary registrations and employment documents.

Set up payroll inputs and responsibility for changes. The payroll process needs agreed remuneration, relevant personal information, working time and the applicable treatment of absences and variable items. Employees communicate relevant withholding data to their payer through the appropriate process; that information should not be guessed from an informal conversation.

Prepare the practical workplace arrangements as well: prevention obligations, time recording, access, equipment and handling of employee information. Establish who answers questions and who sends changes to payroll. A signed contract does not mean the operational onboarding is complete if the business has no way to record hours or report an absence.

Use a readiness checklist that follows the person from the accepted role through registration, documentation and the first payroll review. Keep evidence of the completed steps.
