An expense appearing in the company's profit and loss account does not automatically reduce its corporate tax base. Accounting recognition and tax deductibility answer related but different questions. The review should establish what happened, why the company incurred the cost and whether a specific tax rule affects its treatment.

Build a list of unusual or sensitive items before the corporate tax calculation. Include charges with unclear business purpose, penalties, shareholder-related transactions and costs lacking adequate documentation. Do not assume that a supplier invoice resolves every question, or that an unusual description necessarily makes a genuine expense unacceptable.

For each item, preserve the invoice, agreement, approval and evidence of the underlying service or supply. Identify the beneficiary and commercial purpose. Distinguish a company expense paid personally by a shareholder from personal expenditure paid through the company; the payment route alone does not establish the nature of the transaction.

Consider a hypothetical consulting SL paying for an event attended by both clients and friends of a shareholder. The business provides an attendee list, programme and cost breakdown. The reviewer can then examine the actual components and applicable restrictions. Describing everything as marketing in the ledger would leave important facts concealed rather than establish deductibility.

The statutory rules expressly identify categories of non-deductible expense and other limitations. Apply the current rules to the documented transaction rather than relying on a social-media list of allowable business purchases. Where a difference exists, explain the tax adjustment and whether it is permanent or linked to timing.

Keep the management decision separate from the tax conclusion. A company can choose to incur a cost for commercial reasons without that choice guaranteeing a deduction. Equally, a proposed correction should not erase the historic invoice or payment. Preserve the evidence, reasoning and authorised accounting treatment in the closing file.

A useful review ends with a schedule of items accepted, adjusted or awaiting clarification, including the specific missing evidence. This allows the tax calculation to be checked and later questions to be answered consistently.
