Finding incorrect IVA calls for a controlled correction, not the quiet replacement of an old file. The invoice, the accounting entry and the tax return are related but distinct records. Establish which of them is wrong before deciding what document or procedure is needed to put the position right.
Describe the error precisely. It may concern the customer identification, taxable amount, VAT treatment, a return of goods or an invoice issued twice. Gather the original invoice, contract, delivery evidence, payment information and any relevant communication. Knowing whether the supply actually changed is as important as knowing the numerical difference.
Identify who issued the invoice and request an appropriate correction from that party where required. A recipient should not edit a supplier's PDF to create a preferred version. Keep the original document and the corrective document linked, with a clear explanation of their relationship and the reason for the adjustment.
Suppose, hypothetically, that a Spanish business invoices a service under its usual domestic treatment and later discovers facts requiring a different VAT analysis. The team obtains the contract and customer evidence, confirms the conclusion and then prepares the appropriate correction. Deleting the original sale from the software would leave the customer payment and previous reporting unexplained.
Check what has already been recorded or filed. A corrected invoice does not itself determine every step for adjusting a VAT return; the appropriate route depends on the circumstances and applicable rules. Keep the periods, amounts and filing receipts available so the adviser can assess the reporting consequences without guessing.
Coordinate with the other party about any refund, additional payment or replacement document. Reconcile the final customer or supplier balance and ensure the correction is not counted twice. Document any amounts remaining unsettled. If the mistake affects a recurring template or software setting, fix the source and review whether other invoices share the same problem.
Your correction file should explain what happened, the supporting facts, the documents issued and the follow-up completed. That history is more useful than a folder containing only the latest PDF.
