An IVA return should be the outcome of reconciled records, not an exercise in adding whatever invoices happen to be available. IVA is Spanish value added tax. Before calculating a payment or credit, establish that the records cover the correct operations and that uncertain transactions have been identified.

Begin with completeness. Compare issued invoices with the sales system and investigate gaps, duplicates and cancellations. Reconcile received invoices with supplier statements and purchases. Keep a separate list of documents requested but not yet obtained; a bank debit does not automatically provide the support needed to deduct input VAT.

Review classification rather than assuming one treatment fits the business. Advances, corrective invoices, overseas services and mixed activities can need separate analysis. Ask whether each purchase relates to an activity giving a right to deduction and whether the documentary and other applicable requirements are met. Do not use the expense category alone as the answer.

A hypothetical training company sells commercial courses and introduces a different educational service. Its manager supplies one combined purchase list. Before preparing the return, the reviewer needs to understand both activities and how shared purchases are used. Copying last period's deduction approach without considering the new service could overlook a material change.

Check the reporting period using the applicable rules and the facts of the transaction. Keep invoice dates, service dates, payments and any special arrangements available. A late document should trigger a documented decision about its treatment rather than being inserted wherever there is room in the next spreadsheet.

Prepare a control summary connecting the accounting figures to the proposed return. Explain adjustments, refunds, prior balances and amounts excluded pending clarification. Confirm that the payment arrangements are practical and that the business has enough funds if a payment is expected. Review the filing receipt afterwards and retain the final calculation with it.

The most useful question before filing is whether another person could reproduce the figures from the documents and explanations supplied. If the answer is no, resolve the missing link before treating the calculation as complete.
