Having a salary and a self-employed activity creates two streams of documentation, but the annual IRPF review must consider your overall position. Payroll withholding and payments made during the year do not replace that annual assessment. A profitable side activity can change the final result even when the salary records look familiar.
Start with the employment certificate and check remuneration, withholding and any relevant benefits against payroll information. Then assemble the business books and supporting documents under the applicable method. Keep business income, expenses, assets and advances identifiable rather than inserting the net bank movement as an unexplained annual profit.
Reconcile professional withholding and any applicable advance payments separately. The same amount should not be claimed twice because it appears in both an invoice register and a summary. Ask about differences between certificates, tax data and your own records while the employer or customer can still provide the supporting information.
A hypothetical software developer works for a Spanish employer and undertakes independent technical projects outside that role. He buys equipment for the projects and receives fees with differing payment arrangements. His annual pack includes employment income, the activity's records and evidence of payments on account. Recording only the amounts received after deductions would obscure the income and the tax already advanced.
Review expenses carefully where the employment and business activities overlap. Explain who acquired an item, who paid for it and how it was used. A cost connected with salaried work should not automatically be moved into the independent activity. Keep any reimbursement by the employer visible to avoid a duplicate or unsupported claim.
Consider the annual cash position before accepting the draft. The final calculation may differ from expectations based on a monthly salary because different income components and payments have to be reconciled. Use an evidence-based estimate to prepare for a possible payment without treating an estimate as a guaranteed outcome.
At the end of the review, the return should connect back to two organised source packs and one reconciliation of taxes already paid. Retain the calculations and filing receipt.
