An SL accounting handover is a transfer of both data and explanation. The next accountant must understand how balances arose, which submissions have been completed and where supporting evidence can be found. Importing a trial balance without that context can preserve errors while making the new software appear ready.
Agree a closing date for the outgoing provider and a starting date for the incoming one. Identify who owns each pending tax filing, payroll cycle, annual accounts task and response to an administrative notice. Record the arrangement so a reporting period is neither omitted nor processed twice during the transition.
Request the full journal, general ledger, trial balance and chart of accounts in usable formats. Add customer and supplier detail, asset schedules, inventory records, loans, payroll balances and tax reconciliations. Copies of filed returns and their receipts should accompany the calculations underlying them, including any adjustments still awaiting resolution.
A hypothetical catering company changes advisers while several events remain unfinished. Its bank holds customer deposits and its suppliers have issued invoices for later deliveries. The handover pack explains each open event, links deposits to contracts and identifies goods still expected. These details help the incoming accountant distinguish balances from completed sales and current expenses.
Reconcile material opening balances before relying on the first new report. Compare banks with statements, debtor totals with invoice listings and payroll liabilities with payroll records. Have management explain shareholder accounts and unusual clearing balances. The existence of an entry in the old ledger is evidence of prior treatment, not proof that the treatment is correct.
Preserve the original exports and keep a separate record of any corrections agreed after review. Do not overwrite historic evidence merely to make a fresh opening balance look clean. Check document access, software permissions, electronic notification responsibilities and appropriate filing authorisations as distinct workstreams.
Complete a handover report listing items received, discrepancies and the person responsible for each missing piece. Management should retain access to the company archive regardless of adviser changes.
