Audit readiness means that the company's numbers can be traced to evidence and explained by the people responsible for them. It does not mean engineering a preferred audit opinion. Start by agreeing the information request and timetable with the independent auditor. Management remains responsible for the accounts and underlying records; the auditor determines the work needed to form an opinion within the applicable audit framework.
Build a closing file organised around significant balances and transactions. Include bank reconciliations, customer and supplier schedules, asset records, inventory information and supporting contracts. Link each schedule to the trial balance and identify adjustments made during closing. A folder containing many documents is less useful than one in which the reviewer can follow a balance from the accounts to the evidence supporting its calculation.
Give particular attention to estimates and unusual events. Explain the basis for recoverability assessments, provisions and other judgements where relevant. Keep management approvals and the data used. If records are incomplete, flag the gap early and discuss what information exists. Creating a confident explanation after the event cannot replace evidence that the auditor needs to assess the matter independently and decide its significance for the engagement.
Consider a hypothetical importer with stock held at an external warehouse. Preparation includes location details, inventory records, ownership terms and arrangements for the auditor's required work. Waiting until the final accounts are ready may leave important practical questions unresolved. The company should coordinate access and information while recognising that the auditor decides the procedures necessary, including whether alternative evidence is adequate when circumstances change.
Appoint a coordinator and assign subject matter owners across finance, operations and management. Maintain a request log with versions and responses so corrected schedules do not circulate alongside outdated ones. Do not assume that an external accountant can answer commercial or legal questions unaided. Arrange access through an agreed channel and avoid giving uncontrolled system permissions merely to make the request list appear complete.
Before handover, reconcile the draft accounts and disclosures with the closing file and unresolved matters list. Keep a record of proposed adjustments and management decisions. An audit preparation review can improve organisation and data quality, allowing the authorised independent auditor to perform the assurance engagement while the company supplies reliable information and understands its own responsibilities throughout the reporting process.
