A message from Hacienda, Spain's tax administration, needs careful reading before action. Start by identifying the document, the addressee, the tax involved and the period under review. An information request, a proposed assessment and a final decision do different things. The next step depends on the actual procedure, not on how alarming the heading appears or how a similar notice was handled previously.
Retrieve the complete notice through an official channel and keep evidence of notification. Do not rely on a forwarded screenshot missing attachments or the final page. Record the response instructions and have the applicable period checked promptly. Different procedural documents require different actions; a generic deadline copied from an internet article can lead to an incorrect assumption about the time available.
Create a case folder with the notice, original return, calculation papers and supporting records. List each item requested and identify where its evidence is held. Assign one person to coordinate documents and one reviewer to check consistency. This prevents separate employees sending partial explanations that describe the same transaction differently or overlook information already supplied to the administration on an earlier occasion.
Consider a hypothetical company asked to explain a difference between declared income and information reported by a customer. The accounts team first reconciles invoices, credit notes and timing. A cancelled invoice may explain the mismatch, but that explanation needs evidence. The response should connect the amounts and documents directly, rather than sending the entire bookkeeping archive and expecting the official to reconstruct the answer.
Before submitting, check the scope of the request and whether representation is properly arranged. Explain facts accurately and distinguish confirmed information from anything still being investigated. If a requested record is unavailable, discuss how to address the gap within the procedure. Avoid amending a return or paying an unexplained amount merely because the notice is assumed to prove an error conclusively.
Keep a copy of the response, its attachments and the official submission receipt. Note what followup may be expected and who will monitor notifications. A prompt document review can identify the type of procedure and organise a proportionate answer, allowing the substantive tax question to be assessed with the relevant evidence and the correct procedural context in view.
